When classes are in-session in person:
- Emergencies: Call the office directly and leave a message with the best time to call and the best phone number to reach you that day. Please let the office staff understand that the message is urgent. Do not leave messages on voice mail. This is only for extremely urgent, emergencies requiring timely contact.
- All other communication should be done via e-mail (see the parameters below).
When classes are in distance-learning mode:
-For academic questions: Contact via e-mail after information has already been sought out through primary communication channels by accessing Gradelink, Google Classroom, or other learning programs (see parent/student support tools page for more information about what can be accessed and how).
-For other concerns: Contact via email after searching out information or allowing for a cool down period, if necessary to maximize productivity. Always contact the teacher first with your concerns. If the matter is truly urgent, place the word "URGENT" in the subject line to help teachers sort out and prioritize the numerous emails and documents they receive daily. Weigh carefully what is truly urgent, and please understand that during the school day, teachers are instructing and interacting with their classes and have few breaks. They may not be able to respond to you as quickly as you'd like, especially if they need to access their record keeping to reply.
-For more detailed discussions or team planning: Please request a Zoom Meeting via e-mail with "Zoom Meeting Request" in the subject line for a more timely response. From there, we can set-up the best meeting time and plan accordingly.
E-mail Protocol:
- Average turn around time: Mon-Fri. (appx. 1-2 days from date of email)
-An email implies that the matter isn't of immediate urgency, unless indicated in the subject line (see directions above).
- Please be aware that email will not generally be read after 4:30 p.m. or before 7:45 a.m. Email will be read on weekdays only.
- Please be patient and respectful of the teacher's time and good intent to foster the best communication possible while managing time and various demands.
Important Note: Email is a wonderful tool, but it can lead to a lot of miscommunication or unnecessary, excessive interaction which can be draining and unproductive. Face-to-face discussions are preferable when possible, especially when the concern is complex and the discussion is regarding your child. Maintaining a good parent/teacher relationship and partnership is essential for a successful year, and it directly affects the well-being of the entire class community. Thank for your respecting the important work and personal balance so needed in all our lives.
Don't Forget to Use your Primary Communication Tools via Gradelink and Google Classroom First (where applicable). If you are not checking these links at least weekly, you may lose precious time to help students make-up missing work, to monitor tests and assignments, and to track portions of a variety of long-term projects. When inquiring about a student's grade or overall progress, please be sure to carefully peruse these tools first to help facilitate a more effective conference if needed.
